Criteria and the compliance check
Choose your qualification criteria from PropFit’s catalog, add “or” pathways, and read what the compliance check flags.
Your criteria are the requirements a renter must meet. PropFit matches renters against them and explains every result, so they must be clear and fair. You choose them from a catalog; there’s no free-text “ideal tenant” box.
Where criteria apply
Open a property and choose Set criteria, or follow Set criteria from a vacancy’s readiness list. The Criteria page lists every set. You can set an organization default and criteria for each property, unit or vacancy. The most specific set wins: a vacancy’s own, then its unit’s, its property’s, then your organization default.
The catalog
- Income to rent: for example 3× the rent. The editor shows the income that means, like “Rent $1,950 → required income $5,850/mo”.
- Minimum credit score
- Guarantor accepted
- Maximum occupancy, Pets, Move-in timing, Lease length and Smoking
- Eviction history and Rental history, marked Checked at screening: they’re checked only by a background check, after a renter applies
Pathways
A renter qualifies if they meet all criteria in a group. Choose Add an “or” pathway for another way to qualify, for example income 3× and credit 650, or a guarantor and credit 600. You can have up to 5 pathways.
Saving and versions
Choose Save draft & check to run the compliance check, then Use these criteria. Each change creates a new version; the active version stays in use until you switch. On a property, Apply the same criteria to other properties gives each property its own copy, checked against its own location.
The compliance check
The check reads your criteria and fees against fair-housing guidance and the rules PropFit has for your market:
- No obvious configuration issues detected: nothing flagged.
- Note: something to know.
- Review: something that often causes problems, like a very high income multiple or credit minimum. You can still use the criteria after you tick that you’ve read the notes; your acknowledgement is recorded.
- Blocked: not allowed where the home is. Fix it before using the criteria.
The check helps you spot problems. It never certifies that criteria are compliant, and you remain responsible for your decisions.
Local rules
Some cities and states limit what owners may ask for or charge. Examples include caps on application fees and deposits, limits on using eviction records, rules on vouchers and other sources of income, and fair chance rules on when criminal history may be checked. Where PropFit has a market’s rules switched on, the editors show and enforce them. See Decisions and adverse action notices for fair chance.
